As a Department Assistant, you’ll play a dual role that supports operational accuracy while strengthening tenant relationships. This position balances structured back-office execution with proactive outbound communication, helping ensure smooth internal processes and positive resident experiences.
The focus is approximately:
60% Tenant Relations & Outbound Communication
40% Back-Office Administration (HR & Marketing support)

👤 What You’ll Be Doing:
HR Operations Support
✔️ Executing onboarding and offboarding processes
✔️ Setting up and deactivating system access and logins
✔️ Entering and maintaining employee data and documentation
✔️ Following predefined checklists and email templates precisely
✔️ Supporting ad-hoc administrative projects, including spreadsheet-based tasks
Marketing Operations Support
✔️ Updating rates and unit information across multiple marketing platforms
✔️ Running daily checks for lead accuracy and compliance
✔️ Monitoring aged leads and following up with property managers or leasing teams
✔️ Executing daily marketing checklists consistently
✔️ Ensuring data accuracy across all platforms
Tenant Relations & Retention
✔️ Making outbound calls and sending emails to tenants to gather feedback
✔️ Initiating conversations around upcoming lease expirations
✔️ Identifying renewal intentions and potential concerns
✔️ Compiling tenant feedback into clear reports for Property Managers
✔️ Acting as a professional, empathetic point of contact to strengthen resident sentiment
📚 What You Bring to the Table:
✅ Strong attention to detail and organizational skills
✅ Ability to follow established processes and checklists exactly
✅ Comfort with high-volume data entry and record maintenance
✅ Exceptional verbal communication skills (English B2 and higher)
✅ Confidence with frequent outbound calls and tenant interactions
✅ Clear, proactive communication with internal teams and supervisors
✅ Basic proficiency with office tools and spreadsheets
✅ 1–2 years of relevant experience is a plus, but not required
